1. About this policy

This Privacy Policy explains how Billie Construction Pty Limited, trading as Resolv Machine ("Resolv Machine", "we", "us"), collects, uses, discloses and protects personal information. It covers our website (resolvmachine.com), the Resolv Machine platform, the Resolv mobile and Resident Care Apps, and our related services.

We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles (APPs).

2. Who this policy applies to
 

  • Clients and their staff: builders, developers and their project, QA, commercial and legal teams who use the platform.

  • Residents and owners: people who raise questions or defect claims about a building through the resident app, email or other channels.

  • Subcontractors and consultants: trades and experts who receive routed defects or contribute responses.

  • Website visitors and prospects: people who visit our website, book a demo or contact us.
     

3. Our role when we handle client data
 

Most personal information in the platform, such as resident claims, photos and correspondence, is collected by or for our builder clients to manage their post-construction obligations. For that information, we act on our client's instructions, and our client is responsible for telling residents how their information is handled. Our clients own their project knowledge and data. We use it only to provide the service to that client.
 

4. What personal information we collect
 

  • Contact and account details: name, email, phone number, company, job title, login details.

  • Claim and enquiry information: unit or lot number, building, description of the issue, dates, and correspondence with the builder.

  • Photos, videos and documents: images of the reported issue, and attachments such as PDF and Excel defect reports. These may incidentally show people or personal belongings.

  • Forensic report content: alleged defect items, locations and related commentary in third-party reports provided by our clients.

  • Subcontractor details: business name, contact person, trade and job status.

  • Technical information: IP address, device and browser type, app usage logs, and cookie data from our website.

  • Enquiry details: information you provide when you book a demo or contact us.

We do not intend to collect sensitive information, such as health information. Please don't include it in claims unless it's necessary, for example to explain an accessibility need affecting a repair.
 

5. How we collect personal information
 

  • Directly from you, when you use the resident app, email us, fill in a form or book a demo.

  • From our clients, when they upload or forward resident emails, spreadsheets, PDF reports, project documents and subcontractor lists.

  • From third parties acting for a building, such as body corporate managers, building consultants and forensic experts, via our clients.

  • Automatically, through cookies and similar technologies on our website and apps.

If you don't provide the information we ask for, we or the builder may not be able to process your claim or respond to your enquiry.

Anonymity: you can browse our website without identifying yourself. To raise or track a claim, we need enough detail to identify the property and contact you.
 

6. How we use personal information
 

  • To provide the platform: receiving, extracting and organising claims, answering resident questions, and routing real defects to the responsible subcontractor.

  • To help clients prepare evidence-backed responses to forensic reports and defect claims.

  • To build and maintain each client's knowledge base, so that past answers can be reused on that client's projects.

  • To communicate with you about your claim, your account or your enquiry.

  • To maintain, secure, troubleshoot and improve our services.

  • To send product updates to business contacts. You can opt out at any time.

  • To meet legal obligations.

We do not sell personal information. We do not use one client's data to answer another client's claims unless that information has been de-identified.
 

7. Automated triage and decisions
 

Resolv Machine uses software, including AI models from OpenAI, Google Gemini and Anthropic, to read claims and reports and to suggest how each item should be handled. For example, it may classify an item as a question, a warranty issue, a good-will fix or a likely real defect, and suggest routing it to a subcontractor.

  • Information used: the claim description, photos, location in the building, dates, and the client's project documents (specifications, O&M manuals, warranties, regulatory tolerances and guides, and past responses).

  • Decisions it supports: whether an enquiry can be answered from the building's documents, whether an item appears to be within tolerance, and which trade should receive a real defect.

  • Human oversight: the builder remains responsible for decisions about a defect claim. Our clients can review, change or override any suggestion. If you disagree with how your claim was handled, contact the builder or us and a person will review it.
     

8. Who we disclose personal information to
 

  • The builder or developer responsible for your building, and their authorised staff.

  • Subcontractors and consultants engaged to inspect or fix a defect, limited to the details they need.

  • Service providers that help us run the platform, such as cloud hosting, email delivery, AI processing, analytics and customer support. They may only use the information to provide services to us.

  • Professional advisers, insurers, or a buyer of our business, under confidentiality obligations.

  • Regulators, courts or others where required or authorised by law.
     

9. Overseas disclosure
 

We store platform data in Australia [confirm: e.g. AWS Sydney region]. Some service providers, including [AI / model provider names], may process data in [countries, e.g. the United States]. When this happens, we take reasonable steps to make sure the recipient protects the information in line with the APPs.
 

10. How we protect personal information
 

We use encryption in transit and at rest, access controls based on user roles, logging, and regular security reviews. Each client's data is kept logically separate. If we experience a data breach likely to result in serious harm, we will notify affected individuals and the Office of the Australian Information Commissioner (OAIC) under the Notifiable Data Breaches scheme.
 

11. How long we keep it
 

We keep personal information for as long as our client's project needs it, including the defects liability period and any statutory period for defect claims, plus any time required by law or our client agreement. We then delete or de-identify it.
 

12. Access and correction
 

You can ask to access or correct personal information we hold about you by emailing info@resolvmachine.com. If the information is held for a builder client, we may refer your request to them. We will respond within 30 days.
 

13. Cookies
 

Our website uses cookies to make it work, understand how it is used and improve it. You can block or delete cookies in your browser settings. Some parts of the site may not work without them.
 

14. Complaints
 

If you have a privacy concern, email info@resolvmachine.com and we will respond within 30 days. If you're not satisfied with our response, you can complain to the OAIC at oaic.gov.au or on 1300 363 992.
